50 an hour 1 day ago 1 day ago 1 day ago The Administrative Assistant for the Counseling Center facilitates the department's administrative activities and coordinates various administrative support processes and projects.
Administrative support is provided to the Director and to the department's counseling staff.
This Administrative Assistant is expected to perform a variety of clerical duties in accordance with specific instructions and established work procedures, typically under minimal supervision.
ESSENTIAL FUNCTIONS Serve as administrative assistant to the Counseling Center by providing reception services and other necessary customer service and support roles to the Center staff and visitors to include but not limited to:
Establish a professional and welcoming work environment both in function and appearance as directed by the Counseling Center administration.
Appropriately and professionally respond to emails and correspondence as required.
Schedule appointments for counselors.
Greet and check-in students for appointments and visitors.
Prepare and proofread correspondence, reports, and other documents prepared by the Director.
Organize and maintain paper and electronic filing systems Initiate recurring administrative processes like monthly leave reports and payroll.
Assist in the completion of reports by researching and gathering required information and preparing reports.
Serve as the gatekeeper, fielding calls, face to face contact, fax and triaging to the appropriate follow-up and response.
Ensure coverage of front desk at all times.
Perform regular data entry to include creating new student records, updating student records, and updating multiple student master lists.
Coordinate with HR for new staff/ practicum students.
Pick-up mail from mailroom.
Distribute Counseling Center on-call list by e-mail to Student Development staff and Safety.
Prepare check requests and purchase orders for invoices to send to Dean of Student Development.
Keep office equipment (e.
g.
copy machine) maintained and ready for use; keep department supplies in stock and in order (order/pick-up from Business Affairs).
Process all work orders on the College's maintenance requests platform (IT and Facilities).
Assists the Counselors in the introduction of the Counseling Center support dog to visitors and students while facilitating the animal's access to surrounding office spaces.
EDUCATION AND WORK EXPERIENCE AND OTHER REQUIREMENTS High School diploma or equivalent.
3 years of administrative support or clerical experience.
Working knowledge of Microsoft Office (MS Word, MS Outlook, Excel, and Microsoft etc.
).
Excellent computer and interpersonal skills.
Multi-task oriented.
Accuracy and communication skills extremely important.
Emotional maturity an ability to handle confidential information with discretion Must be able to work in the presence of a dog.
The Counseling Center houses a trained dog as a resource for the comfort of students exposing employees to pet hair and any other normal environmental allergens of a clean and treated animal.
